Project Manager
Job description
We are seeking an organized, driven Project Manager to lead and execute key projects. This role involves overseeing project management in a dynamic, high-performance team environment, ensuring proactive communication across all stakeholders. Regular interaction and feedback gathering are essential for keeping the team aligned with project timelines and budget requirements. The Project Manager will prioritize tasks and direct the team to effectively control scope creep, document risks, and make proactive decisions. This role relies on tools like MS Project, Excel, and MS Teams to ensure smooth project execution. Candidates should be enthusiastic about delivering excellent customer experiences and adept at managing customer and internal teams in a positive and efficient manner.
Key Responsibilities:
- Coordinate and host project calls with customers; manage the team calendar, including:
- Weekly status meetings
- Internal project reviews
- Working sessions
- Design sessions
- Triage calls
- Document meeting notes and maintain an action item log to ensure follow-up and completion.
- Prepare weekly project status updates, including:
- Project plan progress
- Issue and action logs
- Issue metrics
- Financial reporting
- Develop and maintain the project plan using MS Project, with regular reviews involving both the team and client.
- Respond to customer communications promptly, escalating issues or requests as needed.
- Manage project scope to prevent scope creep and keep the project within budget, using effective communication and team feedback.
- Proactively coordinate with the Program Manager on any changes requiring a formal Change Request.
- Administer Team Foundation Server (TFS) by tracking customer tickets, updating status and categories as per procedural standards.
- Log all customer-raised issues accurately, escalating items impacting product performance during internal calls.
- Oversee time tracking in Changepoint, covering project setup, financial tracking, task assignments, and project closeout.
- Process monthly invoices and prepare required project-related customer reports.
- Confirm weekly time entries in Changepoint, ensuring accurate comments and notes.
- Update the revenue sheet monthly with actuals, and review revenue projections with the Senior Product Manager.
- Manage and organize project documentation in SharePoint, ensuring accessibility for all stakeholders.
- Develop a high-level understanding of the product to effectively contribute in customer discussions.
- Gather necessary details from clients to facilitate smooth task assignments for technical consultants.
- Contribute to the creation and updating of functional requirements and user documentation.
- Maintain strong client relationships by managing expectations and ensuring all stakeholders are kept informed.
- Regularly communicate with the Program Manager, providing updates and solutions to any project issues.
- Identify opportunities to enhance procedures and documentation.
Additional Responsibilities:
- Perform other duties as required by management.
Qualifications:
- Education: Bachelor’s degree preferred; alternatively, 2 years of relevant experience in project implementation or operations.
