Pay Range: $25-28/hr
Job Description
The Recruiting Coordinator supports the talent acquisition team by managing recruitment interview processes such as scheduling communication and scheduling logistics.
They ensure smooth customer experience for both our candidates and our hiring teams while maintaining high standards of compliance.
Responsibilities may include, but are not limited to
Provide administrative assistance to the recruiting team to assist in the general day-to-day operations of the talent acquisition team.
Assisting the Talent Acquisition team in the maintenance of all pre-hire employee personnel files and records ensuring timely and accurate data entry for applicant tracking and audits.
Serve as a point of contact for all interviews, assisting candidates and hiring managers in the scheduling of onsite and virtual interviews.
Coordinate interview information between hiring managers and candidates, including sending confirmation emails,
outlook invites and booking rooms.
Maintain interview documentation including interview schedules, historical interview records, and collection of
consensus forms.
Creating and distributing employment-related correspondence, including Interview standards, orientation materials,
assisting in initiating and monitoring background checks, drug screenings, and medical assessments.
Partner with HR and Hiring teams to check on the rehire-eligibility of former agency workers.
Required Qualifications:
High School diploma or equivalent required
Excellent communication skills (both verbal and written) in English
Interview/Meeting scheduling experience
Intermediate knowledge of working with web/computer-based applications (MS Office Suite, Teams, SharePoint) Ability to multi-task effectively in a matrixed team, high attention to detail, and the ability to think critically.
Ability to complete tasks on time as per defined Service Level Agreements (SLA’s).
Preferred Qualifications:
Experience scheduling high volume interviews, meetings, or events.
Experience with ATS systems preferred (Workday, Taleo, Greenhouse, ICIMS etc.)
Position’s Contributions to Work Group:
– This position supports the talent acquisition team at the Large Engine Center.
They will be tasked with interview coordination and some administrative tasks.
Typical task breakdown:
– Coordination of large volume interviews.
Coordinating interview schedules with the business and the candidates and ensuring candidates have interview preparation and the business has interview documentation and support.
– This will also involve coordinating with our security teams and welcome center teams to ensure availability of interview space and ensuring a welcoming experience when they come onsite.
Interaction with team:
– This person will collaborate with the TA team, the business and candidates daily and solve complex scheduling issues while ensuring we are hitting our interview targets .
Team Structure
– My team consists of 4 recruiters and myself (one of which is a hybrid recruiter/coordinator whom this person will be taking over the coordination tasks from)
Work environment:
Office environment – potential to need PPE gear ( glasses and ear plugs)
Performance indicators Education & Experience Required:
– Years of experience: 8+ – Degree requirement: Highschool or equivalent
– Master’s and above overqualified – Bachelor’s will only need 4 years of experience

– Are there past or additional job titles or roles that would provide comparable background to this role: TA coordinator, Administrative Assistant, Office Assistant
