Monday to Friday | 8:00 AM – 5:00 PM | 40 Hours/Week

We’re looking for a high-energy Office Administrator to support a fast-moving and dynamic workplace in Jacksonville. This is a hands-on role where you’ll be the go-to person for keeping things running smoothly-from managing daily operations to supporting team logistics. What You’ll Be Doing

Coordinate daily office operations to keep everything on track and efficient

Manage incoming and outgoing shipments, including creating shipping labels

Schedule travel, meetings, and appointments for staff and guests

Greet visitors, handle inbound calls and emails, and maintain a polished front office presence

Process expense reports and assist with light budgeting and invoicing

Maintain clean, organized office spaces and escalate facilities needs as necessary

Track office supply inventory and place timely restock orders

Help support HR coordination, including scheduling interviews and managing calendars

Submit and manage internal service requests in tools like JIRA

Assist with internal events, catering, and keeping snack/refreshment areas stocked

Interact daily with employees across departments, balancing a range of personalities and priorities with professionalism, discretion, and a steady hand

Identify opportunities to improve administrative processes and make day-to-day operations more efficient
What You’ll Bring

Associate degree or higher
-
2-3 years of experience in an office administration or coordination role

Proficiency with Microsoft Office (especially Outlook, Excel, and PowerPoint)

Bonus if you’ve worked with ticketing systems like JIRA or shipping tools like UPS WorldShip or FedEx

Strong communication skills and the ability to manage interactions with tact and diplomacy

A proactive, problem-solving mindset and sharp attention to detail

Ability to stay organized and meet deadlines in a fast-paced, people-oriented environment

Discretion when handling sensitive information and high standards of professionalism
